Opening Comments: Bob asked if anyone had any additional topics to include; Lynne asked whether AITP could assist students in finding employment after graduation. Officer Reports: President: Vernon H. suggested we attend a conference in New Orleans in the fall, but we decided it was too expensive. Vice-President: Gerald D. suggested that we use a PowerPoint presentation to promote AITP in different classes, by creating a smaller version of the one created by Cindy D-B. Lynne H. added that Cindys PP presentation focused on the convention, and perhaps we could emphasize other events in AITP such as the Christmas party. We could also include pictures of speakers. Bob advised that since we will be recruiting in September, we could possibly meet in August with a draft of a PP presentation at that time. Gerald suggested we use pictures from other conventions as well. We decided to bring our ideas to share -- on how we could revise the PP presentation -- to the next meeting or before school starts. (Note: we scheduled our meeting for 8/12, but then Bob later changed it to 8/11, due to a conflict in his schedule, and notified all of this via e-mail.) Lynn added that we need to emphasize and focus on the A+ certification exam. Mary C. introduced everyone to her husband, Gene. Secretary: As the new Secretary for this year, Cindy will be taking minutes beginning with this meeting. Bob advised that besides sending a copy of the minutes to all board members, we need to send a copy to Rita Wood (at South Campus) to her e-mail address,  HYPERLINK "mailto:woodr@matc.edu" woodr@matc.edu a requirement for all clubs. He also remembered that the awards presented to Cindy, Gerald, and Lisa in May need to be mounted and he will do that. Treasurer: Lisa J.s report began with Bob mentioning that since Cindy Riley is in charge of Student Accounts, Lisa needs to contact her to find out all transactions and balances and how much money we have in our account. He said we can put a deposit down for Midwest Airlines, once we learn how much we have in our account, in preparation for the conference trip next year. Lisa asked whether we have a running total somewhere, and mentioned that a receipt [budget] could be given out with the agenda. He advised that past Treasurers previously had a spreadsheet set up, which Lisa will find out about. Committee Reports: Awards: Bob reminded us that all flyers and all stuff needs to be saved, especially attendance sheets. Fund Raising: See comments in Old Business. Membership: No report. Public Relations: Gerald and Vernon volunteered for this committee. Newsletter: See comments in Old Business. Web Page: Bob asked if any one would like to volunteer to modify the website. Lisa advised we could put in a link to the main AITP Web site. The Web site is now on a server at MATC and we can put a link to the clubs. She (Lisa) volunteered to do the Web site. Old Business: Comments: Bob reminded us to check our officer mail boxes for AITP information, at least once a week, especially since we have not been able to check our mailboxes this summer, due to the construction above his office. He will put the black boxes back in his office after school starts, and then we should stop by once a week to check them. Newsletter: For 2005 2006, a Newsletter would be good to advertise our meetings and speakers, and could include a section with technical questions and answers, such as an Ask Jonathan column, with Jonathan Johnson providing answers and information. Lisa and Mary suggested we use Publisher for it. The board members discussed using Windows 2000 including Publisher Professional edition, which is not in Windows 2003. Other information can be accessed through the AITP Web site. Club Forms: Club forms must be completed by the President. Vernon can obtain them from Jerry OSullivan Bob advised him to contact Jerry promptly to make us legal, by the first week of September. Recruitment: Bob advised we set up a schedule to visit classes and promote AITP as soon as possible. He said that although we now have low enrollment (at MATC West), that could improve in September we would have a better idea of a recruitment schedule. Monthly Meetings: We need to set dates for the entire semester, since we will begin having monthly meetings in September and will need to schedule those dates at the next meeting in August. We also need to setup a schedule of speakers for the entire year as soon as possible. Bob mentioned that on September 29th, we have Mark Gilfrin scheduled as our first speaker this semester. Display Case: Since we need to modify the display case, at the next board meeting, we will look at it and set it up. This should take about 30 minutes. We will include pictures of new and old members in the display case and pictures of those who attended the Leadership Retreat at Wyalusing State Park this past July. Prof. Chapter: We need to publicize the first Professional Chapter AITP Meeting in September and get as many people as possible to attend. We need to promote AITP when we recruit in classrooms. Each month one officer or committee chairperson receives a free meal. We could also raffle off one free meal at the Student Chapter Meeting. Student Orientation: Bob will ask Jerry OSullivan if we will be training people again this semester on how to use e-mail and log onto the MATC Website (due to no more paper). "Life After MATC": Regarding our yearly breakfast for students and teachers in November we need to form a committee quickly Bob wants short-time speakers for this. Lisa suggested having a PowerPoint presentation for this event, also. Jerry OSullivan will sponsor it. (We do not have to ask the Student Board for the funds for this.) Next Years NCC: Regarding the National Collegiate Conference in Dallas, Texas on March 31st April 2nd, what do we want to do for Fundraising the Raffle? Do we want to do fund-raising to attend it and what type? How many students should we send? What is our goal? Bob advised that a raffle is cheap, because we make our own tickets and we give away donated prizes plus there is very little overhead. Lisa suggested we start sending out letters now for prizes. Bob has them on disc. He will bring what he has at the August meeting. If any companies have something to give we can send them a letter and sign them and possibly stuff envelopes at the next meeting. Gerald reminded us that Jerry advised we could sell popcorn. Possibly we could do it during cafeteria hours, since they dont sell it there. We would have to make the commitment, though. Perhaps we could sell popcorn during Weekend College or in the morning, and the smell will waft into the hallways to attract customers. Well have a signup sheet -- late in the afternoon. Gerald will be the first one to sell the popcorn. (Besides popcorn, pre-packaged food can only be sold at MATC.) Bob will check with Jerry OSullivan and prepare signup sheets for times and dates to sell. Gerald added that we all want to go on the trip and help others to go on the trip. Since Lisa is at the downtown campus a lot, she wanted to know who the Student Activities person there is. (Pat Froedtert). Since no AITP exists there and we are the only group that is consistently active, maybe we could get students from other sites? We could recruit there. Mary advised that the Networking group (at MATC) wants to start promoting AITP. We discussed the raffle and how many people we need to decide upon for the trip. Lisa suggested 6 people minimum, and we all agreed on that number. Bob reminded us that we hoped for 8 people as a goal last year, and settled on 7. That means approximately $1600 will be needed for 7 people, and the school (through Student Life) will pay for half of it. New Business: Reelection: Regarding the election in June, two individuals voted who had promised to join AITP, and as of this meeting, they have not turned in any money or application, Bob advised. Their votes could have made a difference regarding the election of our President. Bob suggested we have a re-election in September at a meeting, or we could have Vernon and Lynne be Co-Presidents. After a motion and discussion, we voted to have Lynne and Vernon be Co-Presidents. Employment: Lynne suggested that AITP is a nice club, but she does not really see anything coming out of being in it. We should communicate more with companies regarding internships and entry level positions. Lisa asked if we had access to a database of internships and whether professional organizations could connect with non-traditional students, such as with a recruiter. How do we get to know these people? What can we do, besides just talking to these people? This could be something that would facilitate a career for us. Gerald said we are a networking organization, and we have to knock on doors. Lisa said we dont know very much about the groups represented by these speakers. Could we mix up the tables at dinner meetings, for example, to make networking easier? Bob advised that formerly you could only sit with one other fellow student or familiar face at a table. Perhaps we need to integrate the dinner tables to facilitate networking. At the Southeastern Wisconsin AITP meeting in August, Bob will let them know these things -- and then suggest we have just two chairs for students. Lisa added that we could get every company to sponsor at least one intern. Since the job postings are usually on the table, we could have some literature nearby, as well, at each meeting and utilize our meetings as important opportunities for networking. Next Meeting Date: We decided to meet Friday, August 12 at 1 PM in Room 117 at MATC West. (Bob later had to reschedule it to Thursday, August 11, due to a conflict in his schedule, and advised us of such via e-mail. Only Vernon and Cindy attended on August 11, so without a quorum present, Bob rescheduled the meeting to Friday, September 2 at 10 AM in Room 117.) On August 29th the Milwaukee AITP Chapter meets and on September 12 the Student Chapter meets. Final Comments: Regarding pictures, we could bring some to the meeting and leave a space in our sample PowerPoint presentations for any we might want to include, such as those from the Christmas party.
